We are seeking a dedicated and enthusiastic Sales Administration Executive to join a fast-growing business and team in Hong Kong.
As a Sales Administration Executive, you will be acting as the counterpart of Sales, handling and executing RFQs and orders, coordinating their delivery with our sourcing and logistics team and assure transparency of the process to our customers. Speed and efficiency are crucial for this role.
The preferred candidate would have experience in the end-to-end order handling in the context of trading or logistics, is enthusiastic about working in an international context.

Key Responsibilities
1. Order Handling:
- Interact and handle RFQs and orders end-to-end with Sales, Sourcing and Logistics.
- Handle and process direct requests for proposals from customers swiftly via our CRM tool.
- Work diligently, structured and organized on follow-ups on RFQs and orders.
- Handle and process orders immediate while pro-actively checking upon the order status and keeping the customer always updated on the process of their orders.
- Coordinate orders with the logistics and sourcing team in China to ensure swift handling of orders.
- Utilize our inventory management and CRM system as a single source of truth for all customer related information.
- Listen to clients' needs, inquiries, and concerns, and provide prompt and accurate information or assistance.
2. Client Relationship Management:
- Keep detailed records of client interactions and transactions in our CRM system SAGE to ensure effective follow-up and issue resolution.
- Collaborate with other team members within the company to ensure timely resolution of complex customer challenges.
3. Product/Service Knowledge:
- Develop a deep understanding of Vasco's products and gather industry expertise fast, to provide informed responses to client inquiries.
- Continuously enhance product knowledge and feedback frequently asked questions to the management to enhance product positioning and marketing efforts.
5. Communication:
- Communicate complex information to clients concisely, structured and to the point, both verbally and in writing.
- Apply company standards for standard communications as RFQs, order acknowledgement and order updates.
- Act fast on requests and ensure swift handling of enquiries of customers.
